President

 

 

The President shall preside over all  membership meetings and officer board meetings. The main duty of the president is to pursue the mission of the Society and coordinate the efforts of the officers and members at large to that end.

 

The President will act as back-up signer for checks.

President Elect

The President Elect of the GRI Society shall serve as the Chairperson for obtaining monitors for all GRI Classes. The President Elect shall prepare a schedule and advise monitors as to when they are to be available. 

 

An additional duty of the President elect is to coordinate and follow up with Secretary, Treasurer and members at large on all projects.

 

The President Elect shall preside over all meetings when the President is unavailable or not present.

 

 

In addition, the President Elect shall perform whatever additional duties so assigned by the President.

Secretary

The Secretary is responsible for the recording and circulation of the minutes of all meetings.  The minutes should reflect the type, place, date & attendance of the meetings, as well as business conducted.  A record of all motions made, including the name of the person making the motion and the result of the vote, should be in the minutes.

 

The minutes include all Officer and Committee Reports, Old and New Business, Announcements, and Programs/Speakers, to be included in the records, which are retained by the Secretary.  The Secretary should provide the President with a typed report of the minutes as soon as possible after each meeting.  After the minutes are read, and approved or corrected, the Secretary should sign the final copy and file for record keeping purposes.

 

The Secretary may perform other duties specific to the club’s business, at the request of the President and other Officers.

 

When the Secretary completes his/her term, all records are to be handed over to the incoming Secretary, with the accompaniment of an MS Word disc, containing all minutes from their term, if possible, as well as the final copies on file.

Treasurer

 

The treasurer will oversee accounting on behalf of the society. During general meetings and Board of Director meetings, the treausrer's report will include a summary of the previous accounting cycle: previous balance, deposits, withdrawals, ending balance as well as balance of savings.

 

The treasurer will collect and deposit funds for breakfast and membership as well as cut checks for approved expenses.

 

The treasurer will be available to transfer signature cards as well as assist in handing over the books to the incoming treasurer in the January following the tenure of the treasurer. An audit will be conducted at that time with the assistance of a Member at Large.

Immediate Past President

The Immediate Past President of the GRI Society shall serve as the Chairperson of the Nominating Committee. Since the elections are held in November prior to the new fiscal year the out going President is responsible for coordinating the election along with the last two most recent Past Presidents.

 

An additional duty of the Immediate Past President is the coordinating of the guest speakers for the six (6) breakfast meetings. As soon as possible but not later than January 31st, the Immediate Past President shall present to the President the names and the topics of the speakers. This information shall then be posted on the society’s web site.  The Immediate Past President shall contact the speakers and obtain a short bio and any AV needs for their presentation. He/She shall coordinate with the hosting facility to insure the AV needs are met. Additionally the Immediate Past President shall introduce the guest speakers at the meetings.

 

 

In addition, the Immediate Past President shall perform whatever additional duties so assigned by the President.

Member at large - Membership

The Three Members at Large Board members shall serve as back-up for the officers as the services may be needed. They shall also serve as committee leaders and/or members for those tasks that the board of directors may require during the term of office.

 

They shall be expected to attend all Board of Directors and Membership meetings during the term of office; and any Executive Board meetings as they may be requested to attend by the Executive Board. They shall prepare and report on issues within their assigned responsibilities to the Board meetings and to the membership meetings, if requested to do so by the President or the Executive Board.

 

Any and all reports prepared by a Member at Large Board Member shall be provided to the Secretary for the continuity of the organization. A one page summary may suffice if the Executive Board agrees.

Member at large - Communications The Member at large in charge of Communications will announce alll breakfast meetings and board meetings in a timely manner as well as update the website calendar. The Communications member will make sure RSVP counts are communicated to the breakfast host (petroleum club).
